Acceptance of Terms & Conditions
By making a booking or using our Travel experiences/services, you agree to abide by the terms and conditions set forth by Lanka Adventure Explorers (Pvt) Ltd., Please read them carefully before proceeding with any transactions and it is your responsibility to read and understand them before confirming your booking.
To secure your booking, an initial payment of Rs. 50% is required at the time of booking. By submitting your deposit, you agree to the terms and conditions of the booking. The Client is responsible for covering all bank charges associated with any bank transfers. Once all arrangements are in place, you will receive a Confirmation Invoice and Travel Voucher. The remaining payment should be completed 7 days before your arrival. Rest assured, there are no additional postage fees, booking fees, or hidden charges. Exchange rates will be based on the Central Bank of Sri Lanka at the time of booking and will remain fixed, ensuring transparency in your transaction.
Your reservation is considered confirmed, and a contract is formed when Lanka Adventure Explorers (Pvt) Ltd provides written confirmation after receiving your deposit. Please take a moment to review your confirmation carefully and report any discrepancies to the Tour Operator as soon as possible. It is important that all names are exactly as they appear in the respective passports.
To confirm a booking, you must be authorized by all individuals listed and guardians for minors under 18. By proceeding, you confirm their acceptance of the Terms, commit to sharing booking details and relevant information with them, and take full responsibility for all required payments.
- Booking Confirmation: To secure your Tour or vehicle, a 50% advance payment is required.
- Final Payment: The remaining balance of 50% should be paid no later than 45 days before the tour or vehicle hire date.
- If You Cancel Within 45 Days of Arrival: No refund will be provided.
- If You Cancel More Than 45 Days Before Arrival: 80% of the total booking cost will be refunded.
- If You Do Not Show Up: No refund will be issued.
- Non-Refundable Fee: 20% of the total booking amount is non-refundable.
These terms apply to cancellations and no-shows for any reason, ensuring clarity on refunds based on timing and conditions.
- Non-payment or Partial Payment:
- If the payment is not completed in full or is only partially paid, we have the right to cancel your booking and will notify you of the cancellation.
- Payment Methods: Bookings must be paid via Bank Transfer or Credit Card.
- Secure Payment System: All payments should be processed through our secure online payment platform.
Cancellation Policy
a) Cancellation by us :
Lanka Adventure Explorers (Pvt) Ltd., strive to uphold a high level of professionalism in order to protect your booking. Nonetheless, we reserve the right to cancel your reservation in the case of Force Majeure. If this occurs, we will refund all payments made and, whenever possible, provide an alternative booking of similar type and quality for you to consider. Please be aware that we cannot be held responsible for any incidental expenses you may incur due to arrangements made for a booking that we subsequently cancel.
b) Cancellation by you :
You may cancel your booking by reaching out to our Travel Specialist. Cancellation fees, if applicable, will be calculated based on the date the cancellation notice is received and will be expressed as a percentage of the total cost paid for the tour.
Lanka Adventure Explorers is committed to delivering your planned itinerary. However, unforeseen situations may require us to make adjustments. In the event of an emergency, such as a change in accommodation, we will provide appropriate compensation if the new hotel is of lesser cost. Although we make every effort to follow your original plans, exceptional circumstances may lead to necessary changes for your well-being. Rest assured, we will always handle such adjustments with care and clarity.
Itinerary Changes Made by us
Lanka Adventure Explorers (Pvt) Ltd., is dedicated to maintaining a high standard of professionalism in safeguarding your booking. Adjustments will only be made in unavoidable or compelling circumstances. We will strive to ensure that any changes align with the spirit of the original itinerary and will communicate them with you thoroughly. If exceptional situations arise such as hotel overbooking that necessitate an emergency change of accommodation during your holiday, we will provide an appropriate refund if the alternative hotel is less expensive. Your comfort and satisfaction are our top priorities.
Request for Itinerary Changes by Client :
At Lanka Adventure Explorers (Pvt) Ltd., we strive to provide flexible itineraries. Once an itinerary has been finalized and payment has been made, we will consider any requests for changes. However, these changes cannot be guaranteed and may involve additional costs. We will always inform you regarding the additional charges incurred with respect to such changes.
Special Requests:
Please inform us of any special requests at the time of booking, such as dietary needs, room location, room type (twin/double), or specific hotel facilities etc. It’s also necessary to confirm these requests via email. While we will make every effort to accommodate your reasonable requests, we cannot guarantee their fulfilment. Noting a special request on your confirmation itinerary or communicating it to the supplier does not ensure it will be met. If any special request is not fulfilled, this will not be considered a breach of contract, and we do not accept bookings that are contingent upon special requests being satisfied.
Travel Essentials & Flight Time Check
Upon receiving your tickets, please review your flight times carefully. Note that airlines may make minor adjustments to flight schedules after our Travel Voucher has been issued and Lanka Adventure Explorers (Pvt) Ltd cannot accept responsibility for such changes. It is your responsibility to keep us informed about any alterations to your flight times. Additionally, please ensure that all your travel documents—such as passports, visas, driving licenses, insurance details, and currencies—are in order.
Complaint Handling
Complaints should be addressed promptly to the service provider such as Hotel Manager or our Chauffeur. If the issue remains unresolved, it must be submitted in writing within 24 hours, and you must notify Lanka Adventure Explorers by email to info@lankaadventureexplorers.com in order to assist in resolving the matter. Failure to follow this procedure may result in the refusal of liability.
Lanka Adventure Explorers (Pvt) Ltd is not responsible for any damages or losses incurred from travel to a specific destination. It is advisable to check with your government for up-to-date travel advice and safety information regarding the country you plan to visit.
Information Provided by Client
All information you provide must be truthful and accurate and we will treat all your information with confidentiality. We do not engage in spam, sell mailing lists, or use your data for any other purpose other than securing your booking. We possess a strict anti-fraud policy and ensure that we take appropriate measures to protect personal information, including credit card details.
By making the booking, you authorize Lanka Adventure Explorers (Pvt) Ltd to process personal information for you and your group. This includes, but is not limited to, contact details, addresses, signatures, ID or passport copies, and any other relevant information necessary for your booking.
Information Provided by Us
Lanka Adventure Explorers strives to ensure the accuracy of the information on our website, but we do not guarantee it is completely free from errors. We will take prompt action to correct any mistakes once brought to our attention. Please note that some details may reflect subjective views or estimates.
Amendments and Termination
Lanka Adventure Explorers (Pvt) Ltd reserve the right to modify, update or terminate any content or services Terms and Conditions at any time without prior notice. It is your responsibility to review these terms periodically for any changes.
Lanka Adventure Explorers (Pvt) Ltd provides all listed services exclusively through its contracted partners and is not responsible for any transactions you undertake with third-party service providers during your tour. If you choose to engage with external providers, any associated costs, charges, or issues arising from such arrangements will be solely your responsibility. Lanka Adventure Explorers (Pvt) Ltd will not be liable for any consequences resulting from transactions or agreements made outside the scope of our authorized services.
Mandatory Travel Insurance
Lanka Adventure Explorers (Pvt) Ltd requires all clients to carry valid travel insurance before starting their journey. Policy information must be shared prior to departure, and the insurance must provide sufficient coverage for the activities and risks associated with the trip. Without adequate insurance, we reserve the right to decline travel arrangements. Ensuring comprehensive insurance is crucial for a safe and worry-free experience.
Health
It is strongly advised that all travelers consult a healthcare provider for recommended vaccinations, malaria prevention, and any other medical advice tailored to their health needs at least a month before departure.
Changes to the Privacy Policy
